Job description

As an Office Coordinator within a growing company, you will play a crucial role in ensuring the smooth functioning of our organization’s daily operations. Your task encompasses a wide range of responsibilities aimed at maintaining an efficient and organized office environment.

Your responsibilities

  • Facility coordinator of our offices in Mechelen and Leuven.

  • Various financial and administrative responsibilities, including monthly invoicing, expense tracking as well as IT-related tasks such as access management and IT equipment administration.

  • Fleet management, including handling damage follow-ups, coordinating expert assessments, managing fines, processing new vehicle orders, and requesting quotations from leasing companies

  • Managing and scheduling several projects (events, trips, …)

  • Contributing to the onboarding of new colleagues

  • Thinking along and shaping the process automations

  • Transferring the necessary information to the team

Job requirements

Your qualifications

  • Bachelor or Masters degree

  • 2 to 4 years’ experience in an office coordinator role, including experience in financial follow-up duties (e.g. invoicing) and/or fleet management

  • Excellent problem-solving skills among which a can-do-mentality and an entrepreneurial mindset are key

  • A dynamic, proactive, self-reliant, motivated and versatile person

  • Be proficient with office 365

  • Proven success in contributing to a team-oriented environment

  • Fluent in Dutch and English (knowledge of another language is an asset)
